At The Halalographers, we are committed to protecting your privacy and handling your personal data with transparency and care. This policy outlines how we collect, use, store, and protect your information in line with the UK General Data Protection Regulation (UK GDPR) and Data Protection Act 2018.

When you complete our inquiry form, book a service, or contact us, we may collect the following information.

Event date(s) and location(s)
Details about the event (type, services required, special requests)
Any additional information you choose to provide
Images and video footage captured during your event
2. How We Use Your Information
We use the information you provide, and the content we capture, to:
Respond to your inquiry and provide a quotation
Manage and deliver our services for your event
Maintain internal records, invoices, and booking confirmations
Display and share selected images and video in line with our Creative Services Agreement (CSA), including our Extended Portfolio and public marketing
Improve our services and client experience
We do not sell, rent, or share your personal data with third parties for marketing purposes.
3. Lawful Basis for Processing
We process your data on the following lawful grounds:
Contract (Article 6(1)(b)): Processing necessary to perform our agreement with you, including capturing, editing, storing, and delivering media.
Legitimate Interests (Article 6(1)(f)): Processing necessary for our marketing, portfolio, and promotional activities, including maintaining our Extended Portfolio and showcasing work on public channels.
Consent (Article 6(1)(a)): Only where explicitly given, e.g. opting into future email marketing unrelated to your booking.
Please note: marketing use of event media does not rely on consent and cannot be withdrawn, as it is based on our legitimate interests and forms a core condition of our services.
4. Extended Portfolio
We maintain a password-protected Extended Portfolio that is accessible only to genuine enquirers. This is considered part of our service provision, not public marketing. Content from client events, including identifiable images and faces, may be included in the Extended Portfolio without exception, regardless of any Limited Usage Agreements.
5. Data Storage & Security
Your information is securely stored and only accessible to authorised members of our team. We use GDPR-compliant platforms to manage form submissions, client communications, and delivery of media.
6. Data Retention
If no booking is made: data may be retained for up to 12 months.
If a booking is confirmed: data (including event media) may be stored for up to 6 years for business, legal, and record-keeping purposes.
Media included in our portfolio, Extended Portfolio, or marketing may be retained indefinitely in line with our copyright ownership and usage rights.
7. Your Rights
Under UK GDPR, you have the right to:
Access personal data we hold about you
Request correction of inaccurate data
Request deletion of your personal data (where legally possible and where not in conflict with our lawful basis or copyright ownership)
Object to processing under legitimate interests (except where our CSA makes such processing a core service condition)
Withdraw consent for optional marketing communications at any time
